Paralos Energy group, a well-established energy projects construction company is seeking to recruit an Office Assistant with a previous experience in day-to-day office requirements. The Office Assistant will be joining our office in Athens to ensure the smooth operation of the office as well as handle administrative tasks linked with a wide variety of energy projects and the operations of the company in the Greek area as well as abroad.
Your Responsibilities:
- You oversee general office operation, order stationery and equipment and maintain proper stock levels
- You welcome visitors, answer a high-volume of incoming phone calls and support promoting the client friendly profile of the company
- You coordinate appointments and meetings and manage executives' calendars and schedules
- You supervise, mentor, train, and coach our office staff in office operation related aspects
- You coordinate domestic and international travel, including flight, hotel and car rental reservations
- You are responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
- You produce reports, compose correspondence and draft letters
- You create presentations and reports
- You implement and maintain procedures/office administrative systems
- You ensure that health and safety policies for the premises of the company are up to date
- You assist the organisation's HR function by keeping personnel records up to date, arrange interviews and so on
- As an office assistant you are responsible for any of your actions to the office manager. The office manager is eligible from the company to request a brief of the projects in any time in order to approve/ control the procedures.
Your Qualifications:
- You hold a bachelor’s degree or equivalent
- You have at least two years of proven office management, oradministration experience
- You have excellent computer skills, including Microsoft Word, Excel, Outlook, and PowerPoint
- You have time management skills and ability to multi-task and prioritize work
- You are highly organized and have a team working and problem-solving attitude
- You are fluent in English; knowledge of other languages will be considered as a plus
- You have excellent communication skills and interpersonal abilities, including negotiation skills
- Knowledge of ERP programs e.g., Entersoft Expert, SoftOne will be condiered as a plus
