ICAP Executive Search & Selection, on behalf of its client, a fast-growing Greek Pharmaceutical company is looking for a proactive and organized Office Manager who will oversee daily operations within the office and its various departments.
Office Manager (Ref. 5641/OM/ESS/GR)
Main Accountabilities:
- Customer Service: Oversee the company’s call center, manage correspondence, support customer service, and address complaints.
- Communication: Act as the central point of contact for employees, providers, external partners, and customers.
- Meeting Coordination: Manage calendars, schedule meetings, prepare meeting rooms, and coordinate schedules.
- Documentation Management: Scan and organize documents, perform data entry, and maintain filing systems.
- Travel Arrangements: Handle travel and accommodation bookings for staff.
- Inventory Control: Manage corporate supplies and monitor inventory levels.
- Reporting: Maintain and update order files, generate daily sales reports.
- Sales Coordination: Collaborate with the sales team to implement promotional activities and ensure smooth workflow.
- Financial Administrative Assistance: Monitor bank payments, manage customer and supplier transactions, balance agreements, and issue credit invoices for returned items.
Qualifications:
- 3-4 years’ experience in an administrative assistant role.
- Degree in Secretarial Studies or a related discipline.
- Proficiency in MS Office (especially Excel).
- Excellent verbal and written communication skills in Greek and English.
- Outstanding organizational, interpersonal, and time management abilities.
- High attention to detail and accountability.
- Strong work ethic and ability to maintain confidentiality.
