Administrative Assistant, CDS Greece

ROLE SUMMARY

As part of the Clinical Data Sciences (CDS) group, an integral delivery unit within the Global Biometrics and Data Management (GBDM) organization, the Administrative Assistant is responsible for ensuring efficient and effective administrative operations within Greece Clinical Data Sciences. To administrate duties, the Administrative Assistant may also be assigned to coordinate special projects or tasks and will contribute to the achievement of Greece Pfizer Research & Development (PRD) Hub or relevant site-wide objectives.

ROLE RESPONSIBILITIES

Major responsibilities may include but are not limited to:

  • Provide support in administrative duties including, correspondence, facility and stationary support, phone coverage, calendar management, scheduling and logistics of meetings, travel arrangement, and expense reports
  • Provide administrative support for team colleagues according to established procedures (e.g., GCE, Ariba, travel authorization, etc.)
  • Provide support in department budget control management
  • Provide support to visitors from other facilities in areas related to travel, local transportation and logistics
  • Provide support to maintain and update employee information (e.g., master list, headcount status, Org Chart, JD, etc.) and ensure accuracy
  • Populate paperwork in preferred format with provided information and support preparation of tracking log, reports, and presentations
  • Interact with colleagues in a constructive, professional way to process requests and deliver expected level of service
  • Proactively anticipates business needs/requests and takes appropriate action
  • Assists Sr. leaders & Operations in the department in preparation of presentations (e.g., gathers information for presentation, creates graphics)
  • Has accountability for special projects on a recurring or one-time basis from start to finish (e.g., plans and coordinates large off-site meetings, coordinates recruiting schedule and integration of new employees, conducts research/locates information via internet, library)
  • Establishes strategic, on-going relationships with key individuals in and outside of Pfizer in order to expedite completion of own work
  • Identifies administrative issues and recommends/implements most appropriate solutions that impact completion of own work

REQUIRED QUALIFICATIONS

  • Bachelor's Degree
  • Excellent verbal and written communication skills for interaction with stakeholders, manager and colleagues
  • Excellent oral and written English language skills
  • Ability to carry out administrative and secretarial functions proficiently and in a timely manner
  • Can independently solve routine problems (e.g., misdirected mail, personal network/logon problems, schedule problems or conflicts, etc.)
  • Demonstrates knowledge of and skills with general office procedures such as telephone reception, customer service, commonly used office software (e.g., MS Office, internet navigation, outlook, etc.)
  • Demonstrated proficiency with commonly used office software including Outlook, Word, Excel, PowerPoint, and XMS as well as internet applications with ability to learn new applications
  • Uses e-mail, face-to-face and telephone contacts appropriately
  • Builds good working relationships with all colleagues


PREFERRED QUALIFICATIONS

  • Master's Degree
  • Experience in a multinational company managing a variety of events, projects other corporate initiatives
  • Ability to use SAP/Ariba/Concur system
