W Costa Navarino is looking for an Executive Team Coordinator. If you are experienced and dynamic, have eye for detail and your organization skills always place you “one step ahead”, then you might be our next team member as an Executive Team Coordinator at W Costa Navarino.
You will run the operations of the Executive Office and you will be calm and pleasant with high energy levels. Professionalism and confidentiality will be your second name and since you will be liaising with international offices on a regular basis, your English must approach perfection.
You will be responsible for handling communications, coordinating meetings, and assisting with various administrative tasks to facilitate effective decision-making and workflow.
Responsibilities:
- Administrative Support:
Organize appointments, coordinate meetings, prepare meeting agendas, materials, and presentations, ensuring all necessary resources are available.
Take minutes during meetings and distribute them to relevant parties as needed.
Prepare reports, presentations, and correspondence on behalf of the Hotel Manager.
Handle incoming calls, emails, and inquiries, directing them appropriately.
Coordinate travel itineraries, accommodation, and transportation for the Hotel Manager.
Submit expense reports and track reimbursements.
- Communication Liaison:
Act as a point of contact for internal and external communications addressed to the Hotel Manager.
Screen and prioritize emails, phone calls, and correspondence, responding on behalf of the Hotel Manager when appropriate.
Communicate effectively with other departments, relaying messages and instructions promptly.
Maintain confidentiality and professionalism in all communications.
- Project Coordination:
Support the Hotel Manager in various special projects, initiatives, and strategic planning activities.
Conduct research and compile data to support decision-making and project implementation.
Follow up on action items to ensure timely execution of tasks.
Monitor project timelines and milestones, providing regular updates to the Hotel Manager on progress and potential issues.
- Documentation and Record-Keeping:
Maintain accurate records, files, and databases related to the Hotel Manager's office.
- Social Media Reviews handling:
Respond to guest reviews and comments on social media platforms in a timely and appropriate manner, reflecting the hotel's commitment to guest satisfaction.
Monitor guest reviews on various platforms and collaborate with relevant departments to address any issues or concerns raised.
Assist in ensuring a seamless guest experience by addressing guest concerns, requests, and feedback promptly and professionally.
Engage with guests online, fostering positive interactions and addressing any issues or concerns raised publicly.

Requirements
- At least 3 years of experience within the hospitality industry as an Executive Assistant, Personal Assistant, or similar role in a 5-star hotel preferred.
- Hold a Hospitality degree
- Excellent organizational and time-management skills, with the ability to prioritize tasks and multitask effectively in a fast-paced environment.
- Have excellent communication etiquette (both written and spoken) with internal and external guests
- Speak, write and converse freely in both Greek and English. Knowledge of German and/or Russian/or French language will be an advantage
- Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Be an inspiring team player
- Attention to detail and accuracy in all work, with a proactive and solution-oriented approach.
- Discretion and confidentiality when handling sensitive information or dealing with confidential matters.
- Knowledge of Opera, MGS, GXP, hotel operations and industry trends is a plus.
