Personal Assistant to the CEO
Athens, Greece (EXPA/25)
Our Company, member of an International Group of Companies, is looking to hire a Personal Assistant to support the CEO by handling a wide range of administrative/secretarial tasks in a timely and professional manner.
To be successful in this role, you should be reliable, act proactively, meet deadlines and communicate effectively with all levels of hierarchy. Our candidate shall identify and address the needs of the CEO, making sure that everything runs smoothly, and all office needs are met.
Main Responsibilities & Tasks:
- Acting as a first point of contact for the CEO, dealing with correspondence and phone calls;
- Assisting the CEO with daily administrative duties and completing a broad variety of administrative tasks including: managing an active calendar of appointments, arranging complex and detailed travel plans, drafting agendas, developing, compiling, and create presentations;
- Providing sophisticated calendar management for the CEO, prioritizing inquiries and requests while troubleshooting conflicts to ensure smooth day-to-day engagements;
- Providing a bridge for smooth communication between the CEO’s office and internal departments;
- Reminding of important tasks and deadlines;
- Receive and interact with incoming visitors;
- Organizing events & conferences;
- Liaising with suppliers and clients when necessary;
- Completing reports;
- Maintaining databases and keeping accurate records;
Requirements and Inter-personal Competences:
- University Degree in Business Administration or equivalent;
- Experience between 4-5 years as Executive Personal Assistant;
- Excellent command of Greek & English, both verbal and written;
- Excellent knowledge of MS Office;
- High degree of professionalism;
- Highly developed communication skills;
- Exceptional organizational skills and impeccable attention to detail;
- Integrity, confidentiality, high responsibility and determination;
- Multitasking, prioritization and time management skills;
- Ability to work under pressure, adaptability and flexibility;
- Results-oriented, active listening, “can do” attitude & problem solving;
