Team Assistant

We are seeking a dedicated and organized Team Assistant to provide essential support to our team members while also assisting with various HR-related tasks. The ideal candidate will possess strong organizational skills, be proactive, and have a solid understanding of HR procedures. This role involves a variety of administrative duties aimed at improving team efficiency, communication, and coordination, while also supporting HR functions such as recruitment, onboarding, and employee relations.

Key Responsibilities:

Team Support:

  • Provide administrative assistance to team members, including managing calendars, scheduling meetings, and handling correspondence.
  • Coordinate logistics for team events, travel arrangements, and conferences.
  • Assist with the preparation of reports, presentations, and documents as needed.
  • Monitor and maintain office supplies and equipment for team use.
  • Ensure smooth communication within the team, including managing and distributing team updates and agendas.

HR Support:

  • Assist with recruitment processes, including posting job vacancies, reviewing resumes, and scheduling interviews.
  • Support the onboarding process for new hires, including preparing documentation, organizing orientations, and assisting with introductions.
  • Maintain employee records and ensure compliance with HR policies.
  • Help manage employee leave requests and timesheets, ensuring timely updates to payroll.
  • Coordinate performance review schedules, track deadlines, and assist with the completion of employee evaluations.
  • Provide general HR support by addressing employee inquiries and directing them to the appropriate HR team members.
  • Assist in organizing employee training, development programs, and workshops.
  • Contribute to the development and implementation of HR policies and procedures to ensure efficiency and consistency.

Administrative Tasks:

  • Manage team-related documentation, ensuring that files are organized and easily accessible.
  • Assist with expense reports and reimbursements as needed.

Skills and Qualifications:

  • Proven experience as a Team Assistant or in a similar administrative role.
  • Familiarity with HR practices and employment laws is desirable.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication skills in both Greek and English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle confidential information with discretion.
  • Problem-solving and time management abilities.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Bachelor’s degree or relevant HR certification is a plus.
