This role combines front desk duties, office administration, and executive assistance to the company’s two female owners. You’ll greet visitors, coordinate daily office operations, handle communications, and assist with scheduling, travel, and other executive needs.

 

Key Responsibilities

Front Office / Visitor Coordination

  • Welcome and greet guests as they arrive
  • Answer and direct phone calls in a professional and friendly manner
  • Keep the reception area tidy, organized, and presentable
  • Receive and distribute mail and deliveries

Office Administration

  • Manage office supplies and place orders as needed
  • Maintain calendars, schedule internal/external meetings
  • Assist with filing, copying, and other clerical duties
  • Keep records of office expenses and assist in petty cash tracking
  • Coordinate travel arrangements and accommodations
  • Oversee access and follow office security procedures

Executive & Personal Assistance

  • Provide daily assistance to the two company owners (scheduling, reminders, errands)
  • Support with email follow-ups, event coordination, and client communication
  • Help organize business and personal appointments as needed
  • Handle occasional tasks related to personal logistics or family commitments in a respectful and confidential manner

 

Requirements & Skills

  • Previous experience as an Office Assistant, Executive Assistant, or Administrative Coordinator
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Strong verbal and written communication in both Greek and English
  • Professional appearance with a positive, friendly attitude
  • Highly organized, proactive, and reliable
  • Ability to multitask and manage time effectively
  • Comfortable working both independently and as part of a team
  • Diploma or degree in Office Administration or a related field is a plus
