A. Objective of role: To provide high-level administrative and organizational support, ensuring the efficient operation of daily office functions and internal processes. This role contributes to a well-structured, professional, and collaborative workplace by supporting staff, managing documentation, coordinating office activities, and facilitating communication across departments. The ideal candidate will also demonstrate initiative in improving administrative systems and contributing to a productive work environment aligned with the company’s operational goals.

B. Job Responsibilities:

  • Answer, screen and redirect phone calls, take messages
  • Manage incoming and outgoing correspondence (e-mails, letters, packages)
  • Greet, welcome guests and direct them to the appropriate person
  • Administrative support and office coordination
  • Monitor office supplies and place orders
  • Support in accounting matters (invoices, consignment notes, support in bookkeeping) and other administrative tasks
  • Scheduling of meetings, travel bookings of executives and accommodation arrangements
  • Handle confidential documents ensuring they remain secure
  • Maintain electronic and printed records, ensuring that information is organized and easily accessible
  • Preparation of documents, reports, quotations
  • Provide administrative assistance in projects
  • Support and assistance at various events

C. Qualifications:

  • Bachelor's degree in Business Administration, Economics, Management Sciences or a related field
  • Excellent written and spoken skills, in Greek and English
  • Proven work experience 1-2 years in a secretarial or similar administrative position
  • Ability to effectively manage time and meet deadlines
  • Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, Internet and Windows) and solid understanding of modern technologies
  • Familiarity with the use of "back-office" software (CRM, ERP, e.g. Softone or Intersoft)
  • In-depth knowledge of office management and basic accounting processes
  • Organizational skills, precision and attention to detail and problem-solving ability
  • Integrity and confidentiality
