Back Office Administrator


Ella Resorts is a unique collection of luxury eco-chic resorts in the wider Mediterranean region, with a portfolio consisting of 5 seaside lifestyle resorts in Rhodes, Corfu and Crete. Each property assimilates and is designed to highlight the unique characteristics of its host location within a carefully selected setting rich in Greek history, culture, and stunning landscapes. In order to support our rapid growth we are seeking to hire a Back Office Administrator.

Position Summary

We are seeking a Back Office Administrator to manage and support a wide range of legal, financial, and banking operations. This role involves drafting and reviewing critical documents, liaising with financial institutions, and ensuring compliance with both corporate and regulatory standards.

Main Responsibilities & Accountabilities 

  • Coordinate and process financial transactions, including loans, guarantees and account openings.
  • Liaise with banking institutions to manage KYC (Know Your Customer) documentation, account-related inquiries, and regulatory compliance requirements.
  • Prepare and review Board of Directors (BoD) and Extraordinary General Meeting (EGM) resolutions, where necessary.
  • Draft, proofread, and maintain legal documentation for financial transactions, including contracts, agreements, and reports.
  • Organize, archive, and retrieve financial and legal documents as required.
  • Act as a point of contact between the organization and external stakeholders, including financial institutions and legal advisors.
  • Maintain an efficient digital and physical filing system to ensure easy access to records.
  • Ensure compliance with regulatory requirements by maintaining accurate and up-to-date filing systems for all banking and financial records.
  • Monitor and maintain records of banking activities, ensuring accuracy and adherence to internal policies.


Requirements

  • Bachelor degree in Business Administration, or a related field.
  • 2-3 years of experience in banking operations, financial administration, legal practice with a focus on financial services or a similar role.
  • Familiarity with corporate governance and legal documentation processes.
  • Strong knowledge of banking procedures and regulatory frameworks.
  • Excellent organizational and multitasking abilities.
  • Ability to manage multiple projects with precision and within strict deadlines.
  • Fluency in English
