The Romanos, a Luxury Collection Resort, is seeking a Villas Coordinator to make an impact on this job. The successful candidate will manage and offer personalized luxury services and coordinate the daily requirements and requests of guests prior to their arrival, during their stay and until their departure, and work with various operational departments to ensure best service is provided.
Responsibilities
- Ensure that all Butlers are properly trained and follow all policies and procedures. Ensure seamless cooperation with other departments of the hotel. Communicate all guest requests to relevant departments, timely and accurately.
- Liaise between Housekeeping, Engineering, and IRD/Room attendant departments to ensure guest’s room/villa is impeccably prepared for their arrival. Inform Villa manager or Butlers team when room is ready for final check.
- Send all pre-arrival emails, prior to guest’s arrival. Welcome guests upon arrival with Butlers team and provide room orientation. Act as a concierge regarding guest’s daily arrangements.
- Follow-up with butlers and concierge team all departure arrangements, communicate information to relevant departments to participate accordingly in guests departure.
- Coordinate daily with butlers team that all guest requests and arrangements prior and during their stay are being catered to in a timely and efficient manner and ensure all information is noted in the different systems.
- Throughout guest’s stay, respond to all guest requests, while coordinating with Butlers team. Ensure butlers team is up to date, verify and update regularly the logbook, to ensure smooth handover between shifts.
- Prepare and follow up with VIP list, regarding amenities and their delivery to the rooms/villas. Ensure all guests are daily recognized, met, and contacted with, and receive feedback regarding their overall experience.
- Follow all H&S rules, hotel policies, SOPs, and Brand Standards at all times. Guide and encourage team to do the same.
- Attend all trainings and seminars provided by the company and continuously remain updated for all trends and market news
Requirements
- High school Diploma
- Ability to speak, write and converse fluently in Greek and English. Additional languages are a plus.
- Excellent communication and customer service skills / telephone skills
- Thorough knowledge of food products, standard recipes, and proper preparation.
- Must possess a strong desire to provide extraordinary guest service.
- Ability to operate hotel systems & other software programs (computer skills)
- Ability to handle difficult and stressful situations / work under pressure and under supervision
- Ability to be persuasive, warm and empathetic.
- Negotiation skills / Upselling skills
- Detailed knowledge of the area and its attractions
