In LPP Greece, we are currently looking for a Payroll & Personnel Administration Manager based in Athens

JOB ROLE:

The Payroll & Personnel Administration Manager ensures compliance with legal regulations and company policies while overseeing and participating in payroll processing, benefits administration, and personnel documentation. Acting as a trusted advisor, they drive process optimization, mentor team members, and coordinate operations to ensure efficiency and seamless communication in a matrix environment.

MAIN ACTIVITIES:

·         Coordinate the activities of the payroll and personnel administration team, providing feedback and support to ensure tasks are completed on time and in accordance with company policies and legal requirements.

·         Ensure compliance with labour laws, tax regulations, and internal policies for all personnel and payroll-related documents, including contracts, annexes, modifications, certificates, etc.

·         Oversee and manage the end to end payroll procedures ensuring timely and accurate processing of employee wages, salaries, bonuses, and other compensation and benefits.

·         Review, verify and participate in payroll data and procedures (e.g., hires, terminations, hours worked, absences, overtimes, bonuses, maternity leaves, sick leaves, increments, issuing and submitting A.P.D. (Social Security Report) and F.M.Y. (Payroll Tax) to proceed with accurate payroll calculations.

·         Ensuring the timely submission of weekly schedules for store personnel and any modifications.

·         Oversee the correct implementation of the digital employee card and ensure timely modifications.

·         Manage benefits administration, including private health insurance, vouchers, gifts, and other employee programs.

·         Handle social security and tax-related reporting, prepare employee data and documentation for audits and inspections conducted by local authorities.

·         Update, develop, and implement procedures and processes for payroll and personnel administration to enhance efficiency and accuracy.

·         Oversee payroll software and personnel administration systems, working closely with providers to initiate improvements and ensure seamless system integration.

·         Collaborate with external legal advisors to update documentation based on legal advice and ensure alignment with applicable regulations.

·         Maintain proactive communication and compliance with relevant inspections from the employment authorities.

·         Supervise cooperation with Health and Safety agencies, monitor the legal compliance with Occupational Doctor & Safety Technician and ensure legal compliance of related procedures.

·         Organize mandatory seminars for employee Health and Safety in the workplace (first-aid, fire safety, etc.).

·         Processing and issuing monthly payroll reports and participation in the company budgeting process.

·         Provide timely and accurate reporting to various departments, including Finance, HR, and Management, as well as relevant state institutions.

·         Ensure all payroll and personnel processes comply with General Data Protection Regulation (GDPR), with a focus on data privacy and security.

·         Leverage digital tools and automation to enhance efficiency, particularly in aligning with pan-European payroll standards and practices.

·         Sustainability Reporting: Familiarity with EU requirements for reporting social and environmental impacts related to HR and payroll functions.



Requirements

·         Graduate of a University/Technological Educational Institute (AEI/TEI) in an Economics-related field.

·         At least 5 years of experience in senior or team leader positions in payroll and HR administration in larger organizations, preferably in retail or similar industries.

·         Excellent knowledge of the ERGANI information system.

·         Familiarity with ERP payroll systems – knowledge of Epsilon Net Pylon software will be considered an additional asset.

·         Knowledge of procedures related to the Labor Inspection Office, EFKA, OAED and other related public institutions.

·         Knowledge and monitoring of labor and social security legislation.

·         Proficiency in the English language.

·         Advanced knowledge of Microsoft Office especially Excel.

·         Strong sense of professional responsibility.

·         Confidentiality and discretion in handling sensitive information.

·         Excellent organizational, analytical and communication skills.

·         Being able to lead, mentor, and support team members effectively.

·         Effective time management, ensuring proper and timely execution of processes.

·         Positive and pleasant personality with a team-oriented mindset.
