Position: Director of Finance And Administration
Department: Finance & Operations
Supervisor: Executive Director


General Duties and Responsibilites
BUSINESS PARTNERSHIP

  • Serve as a Foundation’s Finance lead and its primary business partner to Management
  • Serves as a business partner to each of the Foundation’s departments
  • Develop monthly, quarterly, and yearly reports and analyses to update Management and the Board on the Foundation’s financial performance (per dept. and across all depts.)
  • Provide ad-hoc analyses for specific business needs, as they arise

CONTROLLING

  • Collaborate with the Foundation’s external accountant to establish, implement, and monitor its finance policies and procedures, incorporating both accounting policies and internal procedural controls
  • Ensure all controls are operating effectively and financial transactions are recorded accurately at source
  • Oversee preparation of financial records related to general ledger, payroll, budget, expense, etc.
  • Design and ensure proper Cash Flow monitoring
  • Evaluate existing accounting / reporting systems and recommend improvements, if required
  • Establish processes for the whole organization to ensure efficient collaboration among departments
  • Ensure legal / tax compliance; serve as primary liaison to external tax, IT, and legal partners
  • Work with partners and third parties to provide internal guidance on issues arising from accounting & tax laws and treatment of judgmental areas

PLANNING

  • Develop, improve and manage budgeting process
  • Monitor and manage expenses within allotted budgets
  • Coordinate budget revisions and forecasts as per needs
  • Analyze budget deviations and propose corrective actions throughout the organization

ADMINISTRATION (HR, Technical & IT)

  • Oversee HR function and co-design people-related policies and processes
  • Ensure the proper management and overview of building and facilities
  • Ensure that the IT / Telecommunications infrastructure is the right one at the proper cost
  • Organize all other back-office activities and ensure transparent and value-adding processes are in place (e.g. reception, procurement etc.)
  • Track and monitor resource needs and other material needs for carrying out financial and administration tasks, to ensure a smooth and efficient work in the organization.

Qualifications

  • Bachelor’s degree, or equivalent in Finance, Accounting, and/or Business Operations, required; graduate degree, preferred
  • HR management experience, required
  • Previous experience overseeing a multi-functional team, required
  • Legal oversight experience, preferred
  • Experience and/or interest in international foundations and cultural organizations, preferred
  • English and Greek professional fluency (reading, writing, speaking), required
  • Proficiency with Microsoft Office Suite (Excel, Word, PPT)
