About the Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position

Under limited direction, this position manages the provision of consular, notarial and passports services at the Australian Embassy in Athens.

The key responsibilities of the position include, but are not limited to:

  • Manage the provision of consular, notarial and passports services to Australian citizens in Greece and other countries of accreditation (Bulgaria and Romania) in accordance with Australian Government guidelines and legislation
  • Lead and manage a small team, establish work priorities, and monitor and provide feedback on performance
  • Manage complex and often highly sensitive consular and passports cases and requests for advice, and provide on the ground assistance to clients
  • Provide timely advice and comprehensive reporting on consular and passport cases
  • Develop, strengthen and maintain key contacts in relation to consular and passport matters including with government, local authorities, other diplomatic missions and service providers
  • Provide training, support and guidance to Honorary Consuls in Bulgaria and Romania
  • Update travel advisories and crisis and contingency plans for countries of accreditation
  • Undertake research on consular and passport related issues as directed and on own initiative
  • Assist to plan and manage consular and operational responses to significant consular events and crises in countries of accreditation
  • Travel to provide consular support and outreach services to consular clients in Greece, Bulgaria and Romania, and other locations including in response to crisis situations

Qualifications/Experience

  • Strong oral and written communication skills in English and Greek
  • Capacity to build productive working relationships with a broad range of clients and stakeholders
  • Ability to assist people facing difficult and sensitive situations
  • Ability to adapt and respond effectively to challenging and unforeseen events and crises – experience in crisis situations would be an advantage
  • Ability to exercise discretion and judgement in decision-making
  • High level of initiative and autonomy
  • Demonstrated leadership and management skills
  • Ability to prioritise workloads, manage competing tasks and meet time-sensitive deadlines
  • Understanding of the guidelines, policies and legislation governing the provision of consular, passports and notarial services – or a demonstrated ability to acquire this understanding
  • Sound knowledge of local laws and customs, government agencies, local authorities and social services in Greece, and the capacity to build this knowledge for Bulgaria and Romania
  • Romanian and/or Bulgarian language skills would be an advantage but are not essential

  1. Ability to lead an effective team and prioritise workloads to ensure the completion of multiple administrative tasks and achieve required outcomes with limited supervision.
  2. Experience establishing and building networks and relationships across stakeholder groups.
  3. Knowledge of Greek law and customs, with particular reference to government agencies, local authorities, the judiciary and social services.
  4. Excellent decision making and judgement, applying relevant guidelines, policies and legislation and adapting according to the individual needs and situation of a client.
  5. Strong customer service and interpersonal skills with the ability to communicate sensitively and clearly with clients, both orally and in writing.
