This multifaceted role seeks a Groups & Events Coordinator, being capable of supporting the planning, coordination, and execution of group bookings and events across our award-winning portfolio, ensuring seamless communication between clients, operations, and commercial teams, while providing administrative support for the MICE Sales Manager.
Groups & Events Coordinator
Some of the responsibilities you will be entrusted with:
- Handling of requests, events and groups, and daily correspondence
- Filing and keeping e-folios and hard copy folios in good order
- Handling telephone and online enquiries efficiently
- Hotel Site Inspections with prospective clients
- Liaising with other departments for the efficient handling of an event, group stay or conference.
- Drafting and distributing the Event, Group or Banquet Event Order (BEO) appropriately with all necessary information
- Drafting of necessary contracts
- Liaising with clients/suppliers in the absence of the MICE Sales Manager
- Source Sales opportunities for the hotel within the region and forward sales leads
- Communication of upcoming specials deals and events to prospective clients
- Assistance in the co-ordination, and possibly presence, at local and international sales trips
- Assists in the completion of reports
- Maintain and update client database
- General administration
Requirements
Useful to have:
- Bachelor's degree in Hospitality Management, Business, or a related field preferred
- Proven experience in a similar role within the hospitality industry (preferably in luxury or lifestyle hotels/resorts)
- Strong understanding of group bookings, MICE business, and event coordination procedures
- Familiarity with event management software and hotel systems (e.g., PMS, CRM, CVENT, Opera)
- Fluency in Greek & English (both written and spoken); additional languages are considered a plus
